PROPOSAL 2024

The FOSS4G-ASIA conference series aims to bring together FOSS4G users and developers worldwide and foster closer interactions with and amongst Asian communities to share ideas for improving Open-Source Software and applications in the field of Geoinformatics. The focus area of the conference is to foster the development and promote the widespread use of open-source geospatial technologies.

The FOSS4G-ASIA conference series started in 2014 commemorating the Tenth anniversary of the first FOSS4G-related conference that held was held in Thailand in 2004. The first edition of FOSS4G-Asia in Bangkok, Thailand. Since 2014, FOSS4G-Asia has been held every two years. All work related to the organization of the conference is done by the local organizing committee that is formed by the local hosting institution/organizers. The conference has now become the main Asian-FOSS4G event. The last conference was held in Seoul, Korea in November 2023.

During the organization of the 2014 FOSS4G-Asia event, it was decided unanimously that FOSS4G-Asia will be held as a biennial event (every two years) counting from last FOSS4G-Asia.  During the FOSS4G-Asia 2018 selection process, it was also decided that the future FOSS4G-Asia events will be organized between the November and December period. The selection of the host is entrusted to a selection committee comprising of past event organizers and persons involved in actively FOSS4G in Asia.

Based on suggestions received from the selection committee members and other stakeholders,  it has been decided to hold the next FOSS4G-Asia conference in 2024.  (Bring it back to sync with even years which got changed due to the COVID pandemic).

We now invite proposals for hosting the FOSS4G-Asia 2024 conference.

Please use the form below to upload your proposal in PDF format. The final proposal should contain the following information and any other information that may be relevant to hosting the conference.

  1. Dates (Anytime from mid-September 2024 to early December 2024), including schedule for training workshops and technical sessions.
  2. Tentative Theme of the Conference
  3. Venue
  4. Plan for conducting in Hybrid Mode (Online/Offline)?
  5. Infrastructure available (Meeting rooms available with capacity, Internet Access, lecture rooms for workshops etc.)
  6. Main organizers and possible list of supporting organizations
  7. Plan for bringing conference proceedings and invitation of papers for academic journals
  8. Potential sponsors
  9. Transportation and access to the venue
  10. Members of Local Organizing Committee
  11. Information on planned Conference Registration Fee, Student Discount, etc.
  12. What are the Eco-friendly measures you plan to introduce in organizing the event?
  13. Availability of hotel rooms near the venue and an approximate cost for single or shared rooms
  14. Any other information that will help the Selection committee to arrive at a decision.

PROPOSAL PHASE

The deadline for submission of proposals is 14th January 2024 (Sunday).

QUESTIONS PHASE

The bidding teams are required to respond to questions related to their bids and to submit their answers by 25th January 2024 (Sunday). AoE Time Zone.

VOTING AND DECISION  PHASE

The selection committee will vote from 26- 28th January 2024, and decide the host for FOSS4G-Asia 2024 The host selection will be announced on 29th January 2024.

NOTE

The website for the FOSS4G-Asia 2024 conference will be hosted on the existing central server of FOSS4G-Asia where the websites of earlier FOSS4G-Asia are being hosted.  This is to ensure consistency and continuity in the conference details. The host organization will bear the cost of server rental and maintenance for two years (till the next conference).
